Signature Macro Guide
The Signature macro is a block you add to any Confluence page to collect signatures. The page owner builds a list of signers (or opens the page for self-service signing), and each signer can sign or decline directly on the page. Common uses: approvals, policy acknowledgements, meeting minutes sign-off, and open petitions.
Quick Start
While editing a page, type /sign and choose Signature from the menu to insert the macro.
Edit the page and place the cursor where the signature block should appear.
Type
/signand select Signature.Open the macro's Config to add signers and set options (see Configuration).
Publish the page. Signers can now sign or decline.
💡 Tip: Signers should create their personal signature once in the Signature Manager → Settings, so signing here is a single click.
Interface
On a published page, the macro renders a signatures table. The header shows totals — for example Total 3, Signed 1, Declined 0.
Column | Meaning |
|---|---|
User | The signer's name and avatar. |
Status |
|
Date | When the signer signed or declined (— if pending). |
Signature | The applied signature image, or "Awaiting signature" while pending. |
If you are a pending signer, your row shows Sign / Decline actions. Depending on the page's visibility setting, other signers' details may be hidden from you.
Features
Sign or decline in place
Signers act directly on the page — no extra navigation. Signing applies your saved personal signature; declining records your decision (with an optional reason if confirmation is enabled).
Manage signers
The page owner opens Config to reach the Manage Signatures panel: search users, Add Signers, and remove signers with Delete. A header counter shows progress (for example 1 of 3 signed).
Two signing models
Model | Best for |
|---|---|
Invited signing | The owner builds a fixed signer list. Only listed people can sign. Use for approvals and acknowledgements. |
Open petition | Anyone who can view the page can Join & Sign without an invite. Use for open endorsements; cap the total with Max signatures. |
Control who sees what
Visibility settings decide whether signature images, comments, and decline reasons are public or restricted. Signers can always see their own information. See Configuration for the full list.
Configuration
Open the macro's Config, then the Signing Configuration dialog to choose the signing type, visibility, and confirmation options. Changes take effect when you click Save.
Invited signing & signature visibility
Visibility | Who can see signature details |
|---|---|
Public | Anyone who can view the page sees all signatures, comments and decline reasons. |
Signers only | Only signers on the list and the page owner can see details. |
After responding | A signer sees others' details only after they sign or decline. Non-signers can't; the owner always can. |
Owner & self | Each signer sees only their own details. Only the page owner sees everyone's. |
Open petition
Setting | What it does |
|---|---|
Public | Everyone who can view the page sees who signed, including signatures and comments. |
Anonymous | To everyone else, only the total count is shown. Each signer sees only their own; the owner sees all. |
Max signatures | Caps the number of petition signers. |
Display limit |
|
⚠️ Heads up: In open petitions anyone who can view the page can add themselves, and the Decline action is not available.
Confirmation dialogs
Option | Effect |
|---|---|
Confirm before signing | Shows a confirmation dialog with an optional comment field before signing. |
Confirm before declining | Shows a confirmation dialog with an optional reason field before declining. (Not applicable in petition mode.) |
FAQ
I don't see a Sign button. You can only sign if you are on the signer list (invited mode) or if the page is an open petition. Ask the page owner to add you, or use Join & Sign on a petition page.
Signing failed or I want to undo a signature. If signing fails, the row returns to Pending — try again. To change a recorded response, ask the page owner; owners manage the signer list from Config → Manage Signatures.
Why can't I see other people's signatures? The page uses a restricted visibility option (Signers only, After responding, Owner & self, or Anonymous). You can always see your own signature.
The petition won't accept new signers. The Max signatures limit has likely been reached. The owner can raise or remove the cap in the configuration dialog.
Can I use this without inviting specific people? Yes — choose Open petition as the signing type so anyone with page access can join and sign.
Does declining need a signature? No. Declining records your decision without a signature image. Petitions do not offer Decline.
